Time Tracking Permissions
What each of the 15 Time Tracking permissions does, where to change them, and what the member sees with and without them.
Time Tracking has 15 permissions. They decide what a remote member can do with their own time and, for team leads, what they can see and do with other members’ time and with client billing.
Overview
This guide lists what each permission does, shows where to change them, and shows with real screens what changes for the member.
Who Can Access
The workspace owner can change these permissions. They are saved on a remote role, so every member on that role gets the same ones.
How to Change Them
Open the permissions
On the member’s Time Tracking tab, click Permissions. When you turn time tracking on for someone, the same boxes open first. You can also change them for the whole role under Settings → Remote Roles.

Tick what they may do
Tick or untick the boxes and save. The note at the top tells you which remote role you are changing and how many other members are on it.

Their Own Time
- Track own time: shows Time Tracking in the menu, with the timer. Time tracking must also be turned on in the member’s profile.
- Add time manually: lets the member type in time by hand. Without it they can only use the timer.
- Edit / delete own time: lets the member change or delete their own time that has not been submitted or sent yet.
- Submit timesheets: lets the member submit their hours for approval, and withdraw a timesheet still waiting.
- See own pay rate & earnings: shows the member their pay rate, timesheet amounts and what they are owed. Without it they see hours only.
Other Members’ Time (Team Leads)
- View team time: shows the Time tracking tab on other members’ profiles, and Reports → Time. Profiles open from Remote Teams, so the member also needs View Remote Teams (in the Remote Teams part of the role).
- Turn time tracking on/off for members: lets them turn time tracking on or off for other members.
- Assign clients for time tracking: lets them add or remove the clients other members log time for.
- Approve / send back timesheets: lets them approve or send back other members’ timesheets, and see their pay amounts.
- Mark timesheets paid: lets them mark approved timesheets as paid, and see pay amounts.
- Manage pay rates: lets them set and remove other members’ pay rates, and see pay amounts.
Client Billing
- View billing amounts: shows client rates and billed amounts, and the Hours tab on client profiles. Client profiles open from Clients, so the member also needs View Clients.
- Manage client hourly rates: lets them set a client’s hourly rate and a member’s own rate for a client.
- Send hours to clients: lets them send hours reports to clients for approval.
- Answer client questions / cancel reports: lets them answer client questions on hours reports and cancel reports.
Ticking an action also ticks what it needs to be seen. For example, ticking Approve / send back timesheets also ticks View team time. Unticking View team time unticks the actions that need it.
What the Member Sees: Examples
Without “Add time manually”
With the permission, the member has the Add time manually button:

Without it, the button is gone and they can only use the timer:

Without “See own pay rate & earnings”
With the permission, the member sees what they are owed in Waiting to be paid, and amounts on their timesheets:

Without it, they see hours only. The last card shows This month instead, and the rate and amounts are hidden on their timesheets:

A team lead
Here Farah has View Remote Teams, View team time, Approve / send back timesheets and Mark timesheets paid. Her menu now has Remote Teams and Reports:

On Daniel’s Time Tracking tab she sees his hours and timesheets and can approve and mark them paid. She has no Permissions or Turn off buttons, because she can’t turn time tracking on or off for members:

She sees Daniel’s clients and hours, but no rates and no + Add client, because she has neither View billing amounts nor Assign clients for time tracking:

Tips & Best Practices
Give team leads their own remote role. Then you can give them the team permissions without changing what everyone else on Virtual Team Member can do.
