Turning User Access On and Off

2 min read

Switch portal access off for a client, put a team member on hold or suspend a remote member.

You decide who can sign in to your workspace. Switch a client’s portal access off, put a team member on hold or suspend a remote member, without deleting anything they worked on.

Overview

This guide covers the access switches for clients, team members, remote members and co-admins, and explains what Account Statuses are for.

Who Can Access

Agency Admin

Step-by-Step Guide

  1. Clients

Open the client and click Edit. Under Portal Access, untick Account active to lock them out of the portal without deleting their account. Tick it again to let them back in. Send welcome mail emails them their portal address and a link to choose a password.

A client whose access is off sees that their account is pending approval, on hold or not active, and is asked to contact you.

  2. Team members

Open the member under Team Members and set Status to Pending, Approved or Hold. Only Approved members can sign in.

  3. Remote members

Open the member under Remote Members, click Edit, and under Role & access set Status to Active, Pending or Suspended. Remote Status, such as Contractual, only describes how they work with you; it doesn’t change their access.

  4. Co-admins

On the Team Members page, the admin accounts list has Deactivate for each co-admin.

What Account Statuses Are For

Settings → Account Statuses is not about sign-in. It names where a portal account is in its journey: Contact, Lead, Client or Client Team, each with your own colour and description, and it sets the status new clients start with. The same page holds the Security & Signup switches for reCAPTCHA and client two-factor authentication.

Frequently Asked Questions

Does turning access off delete anything?⌄
No. Their orders, invoices, tickets and messages stay. They just can’t sign in.
A client is blocked after wrong passwords. Is that the same?⌄
No. That is a security lock, which Clientish support unlocks. See Failed Sign-Ins and Lockouts.
